PRIVACY POLICY
What we collect and why. This policy explains the data Memphonics handles to run your account and study tools, and the third parties that process it.

Who we are / contact
Memphonics is a personal language-learning app. For privacy questions, email support@memphonics.com.
Data we collect
- Account data: your email address and verification status.
- Learning content: the sentences and notes you enter and the cards you save.
- Usage data: generation and quota events needed to enforce limits and operate the service.
- Your marketing-consent choice (whether you opted in or out).
How we use data
We use your data to run your account, generate and review cards, play audio, enforce quotas, and keep the service working and secure. We don’t sell your personal data.
Account and authentication data
We use a third-party authentication and account-storage provider to handle sign-in. Your email and login are processed through that provider so you can sign in securely.
Learning content and generated content
The sentences you submit and the drafts and cards generated from them are stored so you can save, review, and study them. This content is tied to your account.
AI generation processing
To create card drafts, the text you submit is sent to a third-party AI generation provider. We process the response to build your draft cards. AI output can be imperfect, so review it before relying on it.
Audio and text-to-speech processing
To produce spoken audio on reveal, target-language text is sent to a third-party speech / audio (text-to-speech) provider. The resulting audio is cached and served by our backend so reviews play reliably.
The app can also speak an individual word or part of a sentence. When you ask to hear one, our backend selects the text to speak from our own study content and sends only that short item to the same speech provider. The app never sends free-form text you typed for this purpose, and it never sends the surrounding sentence.
Audio made from the sentences and phrases you wrote is treated as your data: it is stored privately, linked to your account, and only your signed-in account can play it. Audio for a generic word or reading from our own study content contains none of your writing and no account information, so one recording of it is stored once and reused for everyone. We only reuse a recording this way when the word and its pronunciation come from our reviewed study content; anything uncertain stays private to your account instead.
Service providers
We rely on a small number of trusted service providers to operate Memphonics. They process data only to provide their service to us and under appropriate confidentiality and data-protection terms. These providers fall into the following categories:
- Account and authentication.
- Hosting and storage.
- AI generation.
- Text-to-speech and audio.
- Email delivery.
- Payment processing.
- Tax calculation.
- Fraud prevention.
- Abuse prevention.
- Customer support.
Some of these categories (for example payment processing and tax calculation) apply only if and when paid subscriptions are enabled for your account.
Payment and billing data
If you buy a paid subscription, your payment is handled by a third-party payment processor. You enter your card details directly with that processor. We never receive or store your full card number. We keep limited billing records such as your customer and subscription identifiers, plan, amount, currency, and the status of payments, so we can manage your subscription, provide receipts, handle refunds, and meet legal and tax obligations. If paid billing is not enabled, we do not collect payment data at all.
Usage and quota events
We record counts and timestamps of generation requests to enforce daily quotas and keep the trial fair and stable. These are operational records, not advertising profiles.
We keep the same kind of minimal record when new pronunciation audio is produced for your account: how many were made, how many characters were spoken, your plan, and when. These records do not store the word, the sentence, or any of your text, and they carry no reference that could be used to look any of that up.
We currently keep those records for up to 180 days and then delete them. That is our own operating choice for allowance limits, billing questions, and abuse prevention, not a legal requirement, and we may shorten it.
Marketing consent
During signup you can choose whether to opt in to product or marketing updates. We store that choice so we can honor it. We do not currently send marketing or newsletter emails. If we begin sending them, we’ll only email people who opted in, and you’ll be able to opt out.
Browser storage during signup / onboarding
During signup and onboarding we use your browser’s local storage to hold things like your first draft card and onboarding progress, so the flow survives a page reload. This is functional storage for the app — not advertising or cross-site tracking.
Retention and deletion
We keep your account and learning data while your account is active. Signed-in web users can permanently delete their account and its data from Account settings (the Danger Zone); see our account deletion page for what is removed. If you can’t sign in, email support@memphonics.com and we’ll help. Some minimal billing, legal, or audit records may be retained or anonymized where the law requires, and a subscription with a store or payment provider must be canceled through that provider separately.
Deleting your account removes the audio made from your own sentences and phrases, along with the usage records linked to your account. If our storage provider is temporarily unreachable at that moment, the remaining audio files are queued for deletion and removed on a later automatic attempt; the queue holds only an internal file reference, never your text. Your account and its records are deleted either way.
Shared recordings of generic words from our own study content are not removed: they contain none of your writing and were never your data, and other learners rely on them. The audio that ships inside our study content is part of the product and stays as well.
Security
We use authenticated access and provider safeguards to protect your data, and limit what we log. No online service can be guaranteed perfectly secure, but we work to keep your data protected.
International data transfers
Memphonics and the service providers we use may store and process data in countries other than the one where you live, including the United States. When data is transferred internationally, we rely on appropriate safeguards (such as standard contractual clauses or a provider’s equivalent transfer mechanism) where required by law.
Your privacy rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal data, to object to or restrict certain processing, and to withdraw consent you have given. You can exercise these rights by emailing support@memphonics.com. We will not discriminate against you for exercising them. We do not sell your personal data.
EU / UK users
If you are in the European Union, the United Kingdom, or another region with similar laws, we process your personal data on lawful bases such as performing our contract with you (running your account and the service), our legitimate interests (keeping the service secure and preventing abuse), your consent (for example marketing consent), and compliance with legal obligations. You may also have the right to lodge a complaint with your local data protection authority.
Children
Memphonics isn’t directed at children. Don’t use it if you’re under the age required to consent to online services in your country. If you believe a child has given us data, contact us and we’ll remove it.
